Terms of service

How working with us works: quotes, payments, plans, who owns what, and the fine print.

About these terms

These terms apply when you use reality-machine.com (the “site”) or hire Reality Machine (“we”, “us”) for design or development work (the “services”). By using the site or accepting a quote from us, you agree to them. If a signed proposal or contract between us says something different, that document wins for your project.

Using the site

You can browse the site and send us enquiries freely. Please don’t use it for anything unlawful, try to break or overload it, or copy large parts of it. Everything on the site, including text, illustrations, logos, code and the Reality Machine name and marks, belongs to us or our clients and may not be reused without written permission.

Quotes and scope

After you send a brief, we’ll reply with a free, written quote describing what we’ll make, the timeline, the price and the number of revision rounds. Work starts once you accept the quote and any deposit is paid. Anything outside the agreed scope is quoted separately before we do it.

Pricing and payment

  • Prices on the site (one-time projects from $150, monthly plans from $1,500 a month, retainers from $50 a month) are starting points. Your written quote sets the actual price.
  • One-time projects: 50% deposit to start, with the rest due on delivery of final files.
  • Monthly and retainer plans: billed in advance at the start of each billing month.
  • Invoices are due within 14 days. If a payment is late, we may pause work until it’s paid.
  • Prices are in US dollars and don’t include taxes, third-party costs (like fonts, stock images, hosting or domains) or printing, unless the quote says otherwise.

Monthly and retainer plans

  • Plans run month to month with no long-term commitment.
  • You can cancel at any time. Cancellation takes effect at the end of the current billing month, and that month isn’t refunded.
  • You can pause for up to two months and keep your spot, or switch plans. When you move to a lower plan, we prorate the change on your next invoice.
  • Monthly plans include unlimited requests, handled one at a time, and unlimited revisions within the plan’s scope. Very large requests, such as a full app build, may be split into phases.
  • Retainers cover maintenance, bug fixes and brand asset upkeep for work we built. New features or new designs are quoted separately.

Timelines and revisions

We aim to send first concepts within 72 hours of receiving everything we need to start. That time is a target, not a guarantee, and larger projects are delivered in phases. One-time projects include the number of revision rounds in your quote (usually one or two), and extra rounds are billed at the rate in your quote. Delays on your side, such as late feedback or missing content, move the timeline.

What we need from you

  • Clear feedback in a reasonable time. If we don’t hear back for 30 days, we may close or pause the project.
  • Content and materials that you own or have permission to use. You’re responsible for the accuracy of the content you supply.
  • A single contact person who can make decisions for your side.

Who owns the work

  • Final deliverables: once you’ve paid in full, you own the final work we created for you and can use it however you like.
  • Unused concepts: sketches and directions you didn’t choose stay ours.
  • Our tools: we keep ownership of our own code libraries, templates and methods, and give you a permanent licence to use them as part of your project.
  • Third-party items (fonts, stock images, plugins, open-source code) remain subject to their own licences. We’ll tell you if something needs a paid licence in your name.

How we make the work

Ideas, illustrations, designs and code for your project are made by the human artists, designers and developers on our team. We don’t use generative AI to create your deliverables. Ordinary professional software may include automated features such as spell-checking, and we may use those features.

Portfolio and confidentiality

We keep your private information and unreleased work confidential, and we’re happy to sign an NDA on request. Unless you ask us not to in writing, we may show finished, publicly released work in our portfolio and on social media, and name you as a client.

Cancelling a project

Either side can end a one-time project in writing. If that happens, you pay for the work done up to that point, and the deposit is non-refundable once work has started. You receive the files for the work you’ve paid for.

Client portal

If we give you a client portal account, keep your sign-in details private. You’re responsible for activity on your account. We may suspend an account that is misused, and we may change or retire the portal with reasonable notice.

Warranties and liability

We do our work with care and fix defects in what we built that you report within 30 days of delivery, at no charge. Beyond that, the site and services are provided “as is”. We aren’t responsible for problems caused by third-party services, hosting, or changes made by someone else. To the extent the law allows, our total liability for any claim is limited to the amount you paid us in the three months before the claim, and neither side is liable for indirect or lost-profit damages.

Governing law

These terms are governed by the laws of the Commonwealth of Massachusetts. Any dispute will be handled in the state or federal courts located in Suffolk County, Massachusetts, unless we agree to resolve it another way.

Changes to these terms

We may update these terms and will change the date at the top of this page when we do. Changes don’t affect a project already underway unless we both agree in writing.
